Girls Swimming & Diving Booster Club

NAME

The name of the organization shall be the Canton Girls Swimming and Diving Booster Club (herein after referred to as CGSDBC), and such organization shall not be organized for profit. The Booster Club shall have its own tax ID number.

 

OBJECTIVES

·        To work for the betterment and growth of Girls Swimming/Diving at Canton High School.

·        To encourage and promote the participation in Swimming/Diving at Canton High School and help extend and promote participation in Swimming/Diving at the middle school level.

·        To protect and promote the best possible conditions for the total development of the students who swim/dive for Canton High School.

·        To promote, support, and provide assistance to the Canton Swim/Dive programs.

·        To provide financial assistance to the Canton Swim/Dive program by purchasing items not provided for in the school district budget, yet deemed necessary or beneficial to the program as determined by the Canton Swim/Dive Coaching Staff with consultation from the Athletic Department.

 

FUNCTION

To raise funds through a variety of fundraising activities to support the Canton Girls Swimming/Diving financial needs as determined by the coaching staff in conjunction with the Girls Swim/Dive Booster Club.  May include but not limited to:

·        Swim Equipment

·        Banquet

·        Home meet refreshments

·        Fire-up Dinner

·        Pancake Breakfast

·        Senior Night

·        Ice Cream Social

·        Pre Conference Feast

·        Parent Night

·        Yearbook

 

COMMITTEE CHAIRS AND MEMBERS

Volunteers from the Club will manage many activities of the Booster Club. These activities involve fundraising, spirit, banquet, fire-up dinner, etc. Generally, the president will ask for volunteers for these committees and then will appoint committee chairs. The committee chairs will report to the President and Booster Club members.

 

MEMBERSHIP

Any Canton Swimming/Diving student or parent may be a member of the CGSDBC. Membership can be initiated by attending regular meetings. The Secretary will keep records of attendance.  Membership shall be for a term of one-year, starting at the September meeting.

 

VOTING

Each member shall be entitled to one vote on such matters brought before the body as a whole at a Booster meeting. Voting shall be by voice or by ballot, this being at the discretion of the President. Students of the high school do not have voting privileges.

 

MEETINGS

The Booster Club will hold 3 scheduled meetings September, October, and November  to include election of the following year’s officers).These meetings will have an agenda consisting of information about fundraisers, coach’s wish list, sponsored activities, Booster Club priorities. The Secretary will have a report on the previous meeting and the treasurer will report the current financial status.

 

OFFICERS

The CGSDBC is organized to provide a division of responsibilities and to provide a framework to encourage participation by all members. The functions and responsibilities of each position are listed below.

·        President – the President provides overall direction, oversees all Booster Club activities, conducts periodic meetings, and supports officers in their duties and functions.

·        Vice-President – the Vice-President supports the president, by helping where needed and acts for the president in the president’s absence..

·        Secretary – the Secretary is responsible for minutes of meetings, and maintains a list of Booster Club participants. The secretary will provide a copy of the minutes to the president within 10 days following a booster club meeting. The secretary will support other officers with Booster Club mailings as needed.

·        Treasurer – the Treasurer is responsible for maintaining and reporting the status of the finances of the Booster Club.

 

The Vice-President, Secretary, Treasurer and Committee Chairs report to the President. Collectively, the members form a board that meets periodically when requested by the President, for various purposes (brainstorming, making decisions or recommendations.)

 

Removal – Any officer may be removed by a majority vote of the quorum in attendance in a special or general meeting, whenever in the judgment of the Head Coach and/or the Athletic Director the best interest of the organization would be served thereby, but such removal would be without prejudice of the officer removed. Any officer appointed by the board to fill the remainder of an unexpired term of office may be removed by a majority vote of the board with the same consideration to said officer as previously stated.

 

ELECTIONS OF OFFICERS

Election of officers for the following school year shall take place as the last order of business during the last scheduled meeting (November) prior to the banquet. The election will be directed by the current members and voted by majority rules. It will be a closed ballot.. It is encouraged that parents from all grade levels be represented when electing officers to ensure continuity from one year to the next.  In order to participate in the election vote, members must have attended a majority of the general meetings during the current year. If a member is unable to attend the November meeting, at which election of new board officers takes place, a proxy vote is available. The voter has 24 hours to get the ballot to the President.  If it is determined by the current officers at the November meeting that there is an insufficient number of members who have met the attendance requirement to hold a vote, the current officers may deem it necessary to waive the attendance requirement for the current year’s vote only

Terms of Officers – All elected officers shall serve for only one term unless reelected. The term is designated by the end of the season, for arrangements of the following year’s banquet.

 

PURCHASING

The Booster Club shall make purchases in its own name, not the name of the school or district. Equipment or materials purchased for schools by the Booster Club becomes the property of the district. The Booster Club Board shall vote on any capital spending.

 

RECORD KEEPING

Officers and committee chairs shall retain records (records of finances, procedures, key decisions, lessons learned). At the end of the year, these records will be gathered and presented to the incoming president to insure continuity and document expenditures and activities.

 

CHANGE IN BYLAWS

The Booster Club Board is empowered to recommend changes to the Booster Club Bylaws. Changes in the bylaws can be made at any of the Booster Club meetings with a majority vote ruling.

 

 

These by-laws were adopted at the November 17, 2010 general meeting of the Booster Club.
